Under supervision of the VP of Human Resources and Compliance or designee, this position is responsible for assisting management and team members on various administrative and department projects throughout Core HR Shared Services., with a focus on those services that support operations in Utqiagvik, Alaska and surrounding areas.  

ESSENTIAL DUTIES AND RESPONSIBILITIES (and other duties as assigned)

1.   Assists with administrative and department projects supporting key initiatives throughout Core HR Shared Services.

2.  Performs manual and digital filing to insure timely and accurate record keeping, including archiving projects when necessary. Pulls records and routes paperwork as appropriate.

3.  HR mail processing duties to include inner-building and external deliveries, preparing packages for shipping, accurate labeling and tracking of mail and coordination with the Mailroom Department.

4.   Maintains cleanliness and organization of all file rooms and administrative areas for Core HR Shared Services.

5.   Works with Anchorage Human Resources staff and other departments to assist with successfully onboarding and offboarding of employees.

6.   Schedules appointments for and assists with sample collection related to drug testing program and processes and completes paperwork related to same.

7.  Assists with recruiting projects, including preparing flyers, mailers and other marketing materials, attendance at career fairs, scheduling interviews and other tasks.

8.  Works independently as well as with team members in same office as well as other offices and departments.

9.  Ensures confidentiality of employee and company information to comply with applicable laws.

10.  Reliability and timeliness, including compliance with attendance policy, is critical.

EDUCATION and/or EXPERIENCE

1. High school diploma or GED certificate.

2. Experience working with highly confidential materials.

3. Working knowledge of MS Office products (including Excel), DocuSign, Adobe, Adobe Professional, Canva and similar programs and willingness to become proficient in same.

4. Experience in graphic design or communications desired.

5. Experience answering phones, scheduling and supporting meetings, booking travel and other related administrative tasks.

LANGUAGE SKILLS

Ability to read and interpret documents such as company policies, safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of employees or customers.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.

The work environment is in an office setting.  The noise level in the work environment is usually moderate. While performing the duties of this job, the employee may be occasionally exposed to outside weather conditions, including visiting non-office environment worksites, and may be required to travel in small and large commercial aircraft and take overnight and/or multi-day trips.
